Virtuous Explorers
1. Introduction
1.1 Welcome to Virtuous Explorers. These Terms and Conditions govern your use of our services, including tour bookings, travel experiences, and related products offered through our website, agents, and team.
2. Booking and Payment
2.1 All bookings must be made via our official website, verified agents, or directly with our support team.
2.2 A 10% non-refundable deposit is required at the time of booking to secure your reservation.
2.3 Full payment is due 14 days prior to the start of your trip.
2.4 Failure to complete payment by the deadline (see clause 2.3) may result in cancellation, with forfeiture of the deposit.
2.5 Travelers must submit accurate personal details when booking. Errors may affect the trip or result in extra costs.
3. Cancellation and Refunds
3.1 If you cancel your booking, the following charges apply:
More than 30 days before departure: 10% of total cost.
14–30 days before departure: 50% of total cost.
Less than 14 days: No refund.
3.2 Virtuous Explorers reserves the right to cancel a trip due to insufficient participants, safety concerns, or unforeseen events. You’ll receive a full refund or transfer credit.
3.3 Flights and third-party bookings follow the cancellation rules of the respective airline or provider.
3.4 Accommodation, activities, and other services also follow their own supplier policies.
4. Changes to Itinerary
4.1 We may adjust itineraries due to weather, safety, or operational needs.
4.2 You’ll be notified of major changes promptly. Minor changes are not subject to compensation.
4.3 If significant changes occur, we will offer comparable alternatives and reasonable compensation if needed.
5. Travel Insurance
5.1 Comprehensive travel insurance is required. It should cover cancellation, medical costs, theft, and trip interruptions.
5.2 Virtuous Explorers is not liable for costs from inadequate or absent insurance.
6. Health and Safety
6.1 Travelers must disclose any medical or dietary needs when booking.
6.2 We may decline participation if a guest poses a health risk to the group.
6.3 All guests must comply with safety instructions from guides and local authorities.
7. Responsibility and Liability
7.1 We act as an agent in arranging services like flights, hotels, and local guides.
7.2 We are not liable for injury, loss, or damage due to negligence, third parties, or client error.
7.3 We are not responsible for delays or disruptions from natural disasters, political unrest, or strikes.
7.4 Travelers are responsible for valid passports, visas, health documentation, and vaccinations.
8. Flights and Third-Party Services
8.1 Bookings with airlines or other service providers are bound by their terms.
8.2 We are not responsible for delays, cancellations, or fees from these suppliers.
8.3 Any disputes regarding third-party services must be addressed with the provider.
9. Complaints and Disputes
9.1 Please report complaints during your trip so we can resolve them in real time.
9.2 If unresolved, you may file a formal complaint within 3 days of the tour’s end.
9.3 Disputes will be governed by the laws of Kenya and settled in Kenyan courts.
10. Privacy Policy
10.1 We respect your privacy and handle personal data responsibly.
10.2 Your data is used solely to manage your travel experience.
10.3 We do not share your data with third parties unless necessary to fulfill the trip or by legal requirement.
11. Force Majeure
11.1 We are not liable for events beyond our control (e.g. pandemics, weather, political instability) that affect your trip. In such cases, alternative solutions or credits may be offered, subject to availability.
12. Amendments
12.1 We may update these Terms at any time. Changes apply to future bookings and will be communicated through our official channels.
13. Acceptance of Terms
13.1 By booking with Virtuous Explorers, you confirm that you have read, understood, and agree to these Terms and Conditions.
